Terms & Conditions
All delegates must pay the registration fee in full prior to their arrival at the conference venue. Delegates are also advised to have a copy of their confirmation email and proof of payment when checking at the conference registration desk.
Copy of a valid student ID to prove enrollment in a full-time study course may be required.
The registration fee includes: the conference documentation package, assistance by conference staff, participation to all plenary and parallel sessions, refreshments, coffee breaks (6) and buffet lunch (3) during the conference.
The registration fee varies according to the payment reception period. If the payment is made after the deadline of the selected period, the registration fee of the following period will be applicable and the difference will be invoiced for immediate payment.
No registration can be confirmed without payment.
Upon successful payment, registrants will receive an email, which serves as confirmation of their registration to the conference. The receipt for their payments will be issued at the conference registration desk.
Substitution and Cancellation
If a delegate cannot attend the conference, a substitute may be accepted before 1 October 2017. After this date cancellation fees will apply. Requests for substitutions will only be accepted if requested by e-mail to the Organisers, indicating the cancelled participant and the substitute.
If a delegate needs to cancel his/her registration before 1 October 2017, the full registration fee will be reimbursed.
If a delegate needs to cancel his/her registration before 10 November 2017, 50% of the registration fee will be reimbursed.
Cancellations made after the 11 November 2017 or ‘no-shows’ cannot be refunded.
Delegates must make sure they receive an acknowledgement of their cancellation from the Organisers. Only this will confirm that their request has been received and processed.
Should the delegate not be granted EU visa for reasons beyond his/her control or for health reasons the registration fee will be reimbursed in full, provided she/he can present a written proof before 10 November 2017.
No reimbursement is given for early termination of attendance.
Delegates should advise by email the Organisers of any special access requirements before registering to the conference.
Alterations to Programme
The Organisers reserve the right to make alterations to the conference programme, venue and timings.
Cancellation or Postponement of Event
In the unlikely event of the programme being cancelled by the Organisers, a full refund will be made. Liability will be limited to the amount of the registration fee paid by the delegate.
In the unlikely event of it being found necessary, for whatever reason, that the conference is being postponed or the dates being changed, the Organisers shall not be liable for any expenditure, damage or loss incurred by the delegate.
If by re-arrangement or postponement the event can take place, the booking between the delegate and the Organisers shall remain in force and will be subject to the cancellation schedule above.
Views expressed by the speakers are their own. The Organisers cannot accept liability for advice given or views expressed by any speaker at the conference or in any material provided to participants.
Videography & Recording
For documentary and archiving purposes, professional videography and audio recording may be taking place during the conference and its related events. Participants who do not wish to be filmed or recorded should advise the Organisers by email prior to the event.
In registering for the conference, relevant details will be incorporated into a participant list for the benefit of all participants. Normally, this information would be: name, surname, institution, country and email address. These details may also be available to parties directly related to the conference and the Organisers may use these details to inform current participants about conference updates or future conferences via email. Participants are responsible for advising the Organisers if they do not wish to have their email addresses included in the conference participant list or the Organisers distribution list for future events.
Websites & Links
The conference and associated websites may link to other websites and networking tools provided for the convenience of the users. The contents of these websites are maintained by their owners, for which the Organisers take no responsibility. Neither can responsibility be taken for contents of any website linking to this website.
It is the responsibility of the delegate to arrange appropriate insurance cover in connection with their attendance at the conference. The Organisers cannot be held responsible for any loss, liability or damage to personal property at the conference.
Special Terms & Conditions
The Organisers may use the speaker’s name and presentation materials for promoting participant attendance at the conference.
Presentations and papers including all associated artwork and illustrations will not be returned unless specifically requested by the author. Presentations and papers must be completely free of advertising and commercialism.
The Organisers may audio and/or video record the speaker’s session and the recording may be archived and reproduced as part of the overall conference materials and in compliance with the Organisers’ open-access policy.
The Organisers may reproduce copies of the speaker’s presentation (eg. PowerPoint slides or supporting handouts) on paper and/or electronically and these may be distributed as part of the overall hand-out materials during the conference and after the event.
Any acknowledgement regarding Copyright or support should be included at the end of the abstract and presentation.
Speakers who do not wish to give permission for the above terms and conditions, please email the Organisers before the commencement of the conference.
